Sales Book lists cash / credit sales at one place. To display Book give Menu Command SALES BOOK, Sales Book will be displayed. By default the Sales Book is displayed for last one month. This period is displayed in the frame marked period. Sales Book will display about Customer Name, Invoice No., Invoice date, Invoice Type, Total Amount, VAT Rs., CST Rs., Amount Paid by the customer, Balance due on customer, Due Date, Debit Note, Credit Note, Recovery, Net To Pay and Status of Invoice.
Press the appropriate option button if you want to list sales entries selected as per the criterion listed in patterns for listing. If you want to list all sales entries press the option button List All.
Any period can be selected for displaying sales book entries of that period. To select period press option button Invoice Date. Enter the two dates in the text boxes which will be displayed. Press command button OK. All sales entries for that period will be displayed in the list.
To see Sales entries pertaining to one particular customer press option button Customer Name. Enter the name of the customer in the text box which will be displayed. To find the customer from the list press Find command button. List of customers will be displayed. Bring focus to the desired customer name or click the name and then press OK on the customer list. Customer name will appear in the frame marked Give Customer Name. Press OK here once again. Now only the sales entries belonging to that customer in the selected period will be displayed. You can also specify the vehicle number of the vehicle taking the fuel or oil for getting credit sales of the selected vehicle number. Specify Vehicle Number and click command button named Find.
To see Sales entries which are paid up (those entries which are either cash transactions or the full recovery has been made and Net to Pay is zero ) press option button Paid Up.
To see Sales entries which are not fully paid up (those entries which are either credit transactions and the full recovery has not been made and Net to Pay is greater than zero ) press option button Credit.
To see Sales entries which are due for payment (Due Date is less than the current system date) press option button Due For Payment.
If you want to edit any sales invoice then first bring that particular invoice to focus in the grid by using tab and arrow keys or click it with the mouse in the grid. Once the invoice is in focus then press command button Edit. That sales invoice will be opened for edit. Edit the sales invoice like you edit any other sales invoice. When you close the Edit window you will return to Sales Book. Any changes which you made in the sales invoice will not be reflected in the sales book until you prepare the sales book again by pressing the appropriate option button.
To display sales book for more options click the button Specify Selection Options . A list of options will be display. If you want to see sale in out of state then click on an option Sales Out of State .If you want to see sales in state then click on option named Sales In State . If hire/purchase list is to display then click on Hire/Purchase Sales. If sales book of 'D' Form Sales is to display then click on 'D' Form Sales . It has two options 'D' Form received or 'D' Form Not Received. You can choose any option whatever you wish. After selection of options press button Close Options Frame . The sales book according to options will be displayed when you click List All or any other option.
All sales invoices when they are created are posted in the ledger automatically if the Post Ledger Automatically check box is checked in the invoicing preference setup. If any sales invoice is not posted in the ledger (status : Open) it can be posted by pressing the command button Update.
