To mark the time wise attendance of employees, select the option Attendance Register ( Time wise ) from the employees menu. A window will be displayed for entering time wise attendance of employees. This window comprises of three main parts. On the left hand side of the window a calendar is displayed. On the top of this calendar, two drop down lists are displayed each for month and year respectively. To select the desired year click the arrow mark which is displayed at the end of the field where the current year is written. A list of years starting from 1900 to 2100 will be displayed, with the help of scroll bar you can reach to the desired year and can select it by clicking it. To select the month click the arrow mark placed at the end of the field where current month is written. A name wise list of twelve months will be displayed . With the help of scroll bar you can reach to the desired month and select it by clicking it. After selecting year and month, corresponding calendar for selected month and year will be displayed. You can click on any of the day to select it. In this way a desired date will be selected. Only after the calendar is set to required date, the processing starts. In the middle there is a panel with the heading, List of Holidays, consisting of the columns date, day and occasion. It displays the list of the holidays. In the bottom of the window there are three tab controls namely Attendance Register , Overtime Register , and Work/Leave Summary . Generally the information about the holidays is entered when for the first time operations are to be performed or when new employees are added. When you click the button Mark Weekly Off a dialogue box is displayed which asks you to specify the off day of the week, where you can enter the day by typing or you can select the day from the calendar( displayed on the left) by clicking the date falling on that day. As soon as you mark weekly holiday all the dates falling on that day will be marked Weekly Off and the list will be displayed in the panel, List of Holidays. After selecting weekly off day you have to click the button Build Table to make the settings accordingly, with this the attendance register will be updated automatically and H will be marked against each holiday. You can mark holidays in a year. You will have to select the date from the calendar on left hand side and then click the button Mark Holiday with this action a dialogue box will appear which will ask you to specify the occasion (for example Independence day ). After this click the button Build Table to make the settings and the attendance register will also be updated automatically and H will be marked against each holiday. All these holidays with date, day and occasion can be visualized from the List of Holidays. Any of the holidays can be deleted, for this first you have to select the date from the holiday list and then click the button Delete Row. You can delete all the holidays by clicking the button Clear All, with this action a warning will appear to confirm your action. If you choose Yes all holidays will be deleted and updation will occur in attendance register, if you choose No nothing will be deleted. You can categories employees under casual, permanent or both. By default both Check boxes( for permanent and casual) are ticked, to select any one uncheck the other one. Attendance Register is used to mark the attendance of the employee. It consists of Name of employee and four time_entry columns for each day of the selected month. The time entry columns for each date records the first entry time in first column, the leaving time for the lunch in the second column, the return back time after lunch in the third column and the final leaving time in the fourth column. You can select Legend button to see the marks you have to use in this register, for example A to mark absent, E for earned leave, which is granted only after the Work / Leave Summary table is prepared and the balance approves it, HE to mark half earned leave etc. After choosing the mark, select Close Button which is displayed in place of Legend button. If you are under the first column of any date of a month and you click the button Mark Full Time , then it will enter the preset office time for each of four entries . After marking the attendance, you can save it by clicking the button Save Attendance . After marking the attendance if you Click Build Table , it will overwrite the attendance register and only the holidays will be marked. You can maximize the attendance register by clicking on the button which is displayed second from the top right corner. If you want to change attendance register to its original size, click on the button which is displayed on the right corner. To print click on the button which is displayed third from the top right corner. For printing refer : Print Using Hitech Print Engine To close the attendance register window, select Close button.
